That's why, beyond what it is and how it works, which we explain in another article on our blog, from easyap we want to take an in-depth look at where this standard is headed, as it already plays a leading role in various countries and industries. That's why we're here to tell you about the future of the format, as well as other aspects such as its relationship with others that currently coexist with it.

Universal Business Language in electronic invoicing

Since its inception, Universal Business Language has revolutionized the way companies manage their commercial transactions. Likewise, it is essential in the world of electronic invoicing.

In any case, in this article, we explain in depth what UBL is. In fact, you will find answers to common questions about this standard, such as:

  • What is UBL?
  • When was it created and for what purpose?
  • Who currently manages it?
  • How does it work?
  • What advantages does it offer for electronic invoicing?

In those lines, we tell you that it began as a collaborative initiative and was developed as a standard for the electronic communication of commercial documents. It also paved the way for efficiency and interoperability in the business world. Since then, it has become established in numerous sectors, as it facilitates process automation and reduces the complexity of traditional invoicing.

The short- and medium-term future of the UBL

The fact is that, thanks to these advantages, Universal Business Language has become increasingly strong in the business ecosystem. That is why its future is so promising and full of opportunities to transform the way companies manage their commercial transactions.

Likewise, as digital transformation continues to gain ground in all aspects, the Universal Business Language is positioning itself to play an even more relevant role in the coming years. In this regard, experts agree that main prospects for this format, including those discussed below.

Greater global adoption

As more countries recognize the benefits of standardization in commercial document communication, the adoption of UBL is expected to expand globally. Likewise, this positive and wider acceptance of the format will facilitate interoperability between different systems and promote efficiency in commercial operations between companies in different countries and continents.

Integration with emerging technologies

Universal Business Language is ideally positioned to integrate with emerging technologies. We are talking, for example, about the relationship between AI and electronic invoicing, blockchain, and the Internet of Things (IoT). All of these are already being established to further improve efficiency and security in commercial document management. In fact, they are already offering new opportunities for hyper-automation and process optimization.

Development of new standards

As the needs of businesses evolve, especially in terms of technology, new UBL standards and extensions are likely to emerge. Likewise, this format will be able to address specific use cases in different industrial sectors. Therefore, these developments will allow for greater flexibility and customization when implementing UBL in commercial environments.

Focus on sustainability and efficiency

Like many advances in any business or social field, the Universal Business Language places greater emphasis on environmental sustainability and operational efficiency. Without going any further, it reduces paper consumption and waste associated with traditional physical invoicing. In other words, with it, companies contribute to protecting the environment and improve their corporate social responsibility.

Collaboration and community development

One last great feature of UBL is the community that has formed, which will continue to grow, collaborate with each other, and work together to improve and expand the standard. In this way, new challenges will be identified and resolved, existing documentation on this language will be updated, and best practices for its implementation will be promoted.

Ultimately, the future of the Universal Business Language is marked by innovation, collaboration, and adaptation to the changing needs of a global business environment. With its ability to facilitate communication and interoperability between companies, this format will continue to be fundamental for electronic invoicing and commercial document management in the coming years.

Its role in Europe as a document standard

Currently, Universal Business Language has gained a solid presence in Europe. Numerous countries in the Old Continent have already adopted this standard for electronic invoicing and commercial document management. Above all, public bodies.

The best example is Directive 2015/55/EU, promulgated at the community level by the European Union. This regulation establishes a framework for electronic invoicing in public procurement and explicitly encourages the use of standards such as Universal Business Language as it facilitates interoperability between Member States' systems.

If we look at it by country, there are several examples of countries that regulate and promote it internally:

  • France: Our French neighbors have promoted the use of Universal Business Language with initiatives such as Chorus Pro, an electronic invoicing system used by public authorities and their suppliers.
  • Italy: The transalpine country has incorporated the UBL format into its regulatory framework for electronic invoicing.
  • Germany: both the federal administration and many states in Germany have adopted this standard to improve efficiency in their billing and payment processes.
  • The Netherlands: have also established requirements for the use of UBL in electronic invoicing between companies and government agencies, promoting its adoption throughout the country.

We could continue citing examples: Portugal, Belgium, Sweden, Denmark... All of them, in addition to having to comply with European regulations, have also included measures in their own regulations to promote the use of UBL.

The truth is that the trend toward UBL adoption in Europe reflects the growing need to standardize and simplify business processes. This is even more so in an increasingly globalized and digitized market. Furthermore, it demonstrates the recognition by governments and businesses of the benefits of implementing a common standard.

The relationship between Universal Business Language and Facturae

However, today, several standards coexist in many of these countries, both in Europe and around the world. A good example of this is Spain, where there is also Facturae and other languages.

Both are electronic invoicing standards that share similar objectives. However, they have several key differences. In addition, there are other formats and electronic invoicing programs that also vary in terms of their structure and functionality.

Below, we show you some key differences between UBL and Facturae:

Universal Business Language Invoice
It is an international electronic invoicing standard developed by OASIS (Organization for the Advancement of Structured Information Standards). It is a specific electronic invoicing format created to comply with Spanish legal and tax requirements.
Provides a set of standardized business documents, such as invoices, purchase orders, and remittances, defined in XML format. It is also based on XML and defines a standard structure for issuing and receiving electronic invoices, including mandatory information required by Spanish regulations.
It is highly flexible and can be adapted to the specific needs of different industrial sectors and countries. Although it is designed for the Spanish context, its structure and principles may be similar to those of UBL in terms of standardization and interoperability.

Furthermore, as in Spain, which has Facturae, there are other electronic invoicing formats and programs that may vary in terms of structure, underlying technology, and specific requirements for each country or industry. Some have their own standards, such as ZUGFeRD in Germany or FatturaPA in Italy.
