Why avoid invoices in Excel and how to replace them?

Jul 25, 2025 | Electronic invoicing

If you are a CFO, you are probably considering or have considered more efficient solutions for your electronic invoicing. Although Excel has been a convenient resource for years, it is becoming increasingly limited and outdated due to new legal and technological requirements. Here's why you should abandon Excel invoices, how current regulations affect them, when it will become impossible to continue invoicing with them, and the most secure, effective, and approved alternatives for managing everything.

How do you invoice in Excel?

If you work in finance or own a business, you probably know what we're talking about. Creating invoices with Excel involves:

  1. Create and customize templates with fixed data: logo, tax ID, customer data, etc.
  2. Manually enter the items: series, date, description, unit, price, and subtotal.
  3. Apply formulas for VAT, withholdings, totals, etc.
  4. Convert to PDF and email or print documents.
  5. Save invoices and update a manual record.

And although Excel has been very popular due to its versatility and low cost, it currently has several limitations:

  • More human errors when entering data manually: incorrect figures, formulas, or duplicates.
  • It does not guarantee traceability or integrity of the record.
  • Shipping, tracking, payments, and tax records are not very efficient.

Is it possible to invoice this way with the new electronic invoice?

The fact is that in Spain, invoicing public entities with Excel is now legally unfeasible. In the private sector, although there are still companies that can accept these invoices, they are also invalid for customers who require Facturae. And it will only get worse.

They say that it is possible to convert your Excel invoice to PDF and send it, but this does not meet the requirements for mandatory electronic invoicing, since:

  • It does not have the Facturae format or recognized electronic signature.
  • It does not integrate with approved solutions that ensure traceability, authenticity, and integrity.

In other words, in the midst of digital transformation, which governments around the world and the business community are embracing en masse, Excel invoices are losing ground due to limitations such as these:

Factor Invoices in Excel + PDF Mandatory electronic invoicing
Facturae format Does not comply Mandatory
Electronic signature Not integrated Authenticated
Submission to the PGE Non-functional Automatic/subject
Traceability Manual and limited Automatic, real tracking
Registration and audit Inconsistent Detailed and searchable

The importance of using approved software

This is why we said in the previous section that approved electronic invoicing software is so important now and for the future. Specifically, it offers:

  1. Legal compliance. Invoicing, electronic signatures, PTO, and current regulations.
  2. Traceability and security. Automatic registration, shipment tracking, secure archiving, and demonstrable integrity.
  3. Efficiency and scalability. Automated workflows with document issuance, delivery, and archiving.
  4. Better financial control. They have a dashboard with real-time information, payment alerts, collections, and preconfigured fields.

Therefore, if you continue to use Excel for invoicing without approved software:

  • You run the risk of penalties for any invalid electronic invoices.
  • You lose financial agility and visibility.
  • You will have more errors and duplications due to manual billing management.

3 reasons to avoid creating invoices in Excel

What's more, here are the three main reasons why you should stop doing your invoicing in Excel:

  1. Legal and regulatory risk. These are invoices that do not comply with Facturae or with the approved electronic signature. In addition, they are vulnerable to inspections and are also punishable under the Anti-Fraud Law.
  2. Unprofessional company image. Manual or Excel invoices often include outdated or inconsistent logos. In addition, they are usually sent by email, which can create disorder and give a poor image of the business.
  3. Operational inefficiency. In Excel invoicing, editing, sending, collecting payments, and archiving documents is done manually, which reduces efficiency. In addition, the risk of data errors, duplications, or failed payments is much higher.

How does the Anti-Fraud Law affect invoicing with Excel?

On the legal side, the recent Law 11/2021 on Measures to Prevent and Combat Tax Fraud (art. 7) establishes that:

  • Invoice records must be kept in a secure computerized record, with a verification system that prevents modifications after issuance.
  • It is mandatory to to keep records in a legible and authenticated format.
  • It penalizes the use of systems that allow alterations in billing, as can happen with uncontrolled .xlsx files.

But, in addition to that Anti-Fraud Law, there are other regulations that require the transition to electronic invoicing:

  1. Law 56/2007 – Information society services: requires data protection and electronic signatures for digital services.
  2. Royal Decree 1619/2012 – Registration obligations: legal invoices and systematic registration.
  3. Law 25/2013 – Use of electronic invoicing with the Public Administration.
  4. Law 11/2021 Anti-Fraud – Computerized and tamper-proof accounting records.
  5. Law 58/2003 on VAT – Control of deliveries and supporting documentation justifying the transaction.

These days, invoicing in Excel does not meet with these criteria of security, integrity, and invariability of records. Failure to comply with any of these laws may result in penalties, fines, and even tax blocks.

In this regard, consulting firms advise migrating in the short term (6–12 months). Now, how can you stop using Excel for invoices and start using electronic invoicing?

  • Rely on a digital billing API.
  • Ensure that the technology you use employs Blockchain or advanced signatures.
